GUWAHATI: The state’s higher education department informed all universities and colleges in the state that all correspondence with the directorate should be made in online mode, in line with the state government’s decision to implement e-offices in all departments.

The director of higher education has written recently to all the registrars of all state universities and the principals of all government colleges, Pandit Deendayal Upadhyaya Adarsha Mahavidyalayas (PDUAMs), and provincialized colleges in the state to communicate all documents, proposals, reports, etc., in online mode via email. The decision was taken in view of the Government of Assam implementing e-offices across all departments, the letter said.

All universities and colleges have been asked to comply with the decision of the state government for the purposes of good governance, transparency, and time-bound disposal of files. In case any institution has any specific problem communicating the soft copy, they have been asked to mention their issue or issues at the website mentioned in the letter.

It was also informed that each file should be mailed as one PDF file of a certain size.

However, the institutions were informed that certain files could be submitted in hard copy format in addition to their soft copies. The letter mentioned that hard copies of certain types of files will be accepted for verification processes and other official procedures, specifically in the case of files related to: (a) medical re-imbursement bills of incumbents of universities and colleges; (b) court-case-related matters; (c) financial sanction-related matters; (d) RTI-related matters; (e) various bills and vouchers; and (f) literary pension-related documents and books.
